Who This Covers

This policy applies to GOLFJOY Limited's website (golfjoy.com) and the GOLFJOY Play booking and practice app. It explains what personal information we collect, why, and who we share it with. Reach us anytime at business@golfjoy.com.

What We Collect

Only what the service needs:

• Account details, meaning your name, email and (if you add it) phone number, used to sign you in and reach you about your bookings.
• Profile photos, messages to your coach and information you submit to customer support, when you choose to use those features.
• Booking and payment info, meaning your reservations, membership status, and the payment records our processor returns (we never see your full card number, which stays with Stripe).
• Practice and play data. When you play on a connected simulator, this is the shot data it produces (ball speed, club speed, carry, and similar), your scores, and, where the venue offers it and you've opted into coaching, swing video.
• Website assistant messages. If you use Ask GOLFJOY, your messages and a limited recent chat history are sent to our AI service provider to generate a reply. The conversation is also saved in this browser for up to seven days so you can continue it on the same device. GOLFJOY does not store the full assistant transcript on its server.
• Assistant improvement data. If you allow optional analytics, GOLFJOY may keep one redacted question-level event, the page, response outcome and source identifiers for up to 30 days. Email addresses, phone numbers, order references and other long identifiers are removed before that event is saved. Helpful or not-helpful feedback is also kept for up to 30 days.
• Basic device and usage data, the standard logs that keep the app secure and working.

Mobile App Permissions and Sign-in Providers

The app uses the camera when you choose to scan a simulator login code. Optional location access helps sort nearby venues on your phone. GOLFJOY does not send those location coordinates to its venue directory service. Bluetooth and local network access connect to a supported simulator when you choose to connect.

If you choose Google sign-in, Google's sign-in SDK handles account details and may collect identifiers, approximate location, usage information and other technical data for sign-in functionality and analytics. Google and Apple process sign-in information under their own privacy notices. The app does not use this information for advertising tracking.

How We Use It

• Run your bookings, check-ins and bay access.
• Show you your own practice history and progress.
• Power coaching. When you choose a coach, that coach can see the practice data you've agreed to share.
• Attribute the shots you hit on a simulator to your account, so your data is yours and not mixed with the next player's.
• Process payments and prevent fraud.
• Answer questions you choose to ask in the website assistant. The assistant request is configured not to save its response object for later retrieval through the AI provider's API.
• When optional analytics is allowed, identify common unanswered questions and improve approved website knowledge without saving the full conversation.

Data Sharing, Including Outside the US

To attribute your play, show your practice data and power coaching, we connect your account to GOLFJOY's simulator and data platform. In practice that means we send a member identifier derived from your email or phone number, and your related play data, to that platform.

GOLFJOY's simulator and data platform is operated by our affiliated GOLFJOY companies, and parts of it are run and processed outside the United States, including in China. By creating an account and playing on a connected simulator, you agree to this transfer for the purposes described above. We share only what these features need, and we do not sell your personal information.

Other Sharing

• Service providers who run parts of the service for us (for example, payment processing and email delivery), under contracts that limit them to that work.
• OpenAI, which processes website assistant messages to generate a reply. GOLFJOY does not add the assistant transcript to its customer lead records unless you review and submit the follow-up form.
• The venue or store you book with, for the bookings and coaching you do there.
• Legal reasons, if required by law, or to protect people's safety and our rights.

Your Choices

• Remove a coach anytime, which stops sharing your practice data with them going forward.
• Ask for a copy of your data, or ask us to delete your account and personal data, by emailing business@golfjoy.com.
• Depending on where you live (for example, California), you may have additional rights over your data. Email us and we will honor them.
• Clear the website assistant history at any time from the chat window. It is stored in that browser, not as an account history, and otherwise expires after seven days.
• Decline optional analytics to prevent question-level improvement events from being recorded. Explicit helpful or not-helpful feedback is recorded only when you choose one of those buttons.

Text Messages (SMS)

If you sign in to GolfJoy Play with your mobile number, or add a mobile number to your account and turn on booking texts, we send you text messages about your bookings: sign-in codes, booking confirmations, session reminders, door access codes and cancellation notices. Message frequency varies. Message and data rates may apply. Reply STOP to stop texts, START to resume, or HELP for help. Send these replies in the same SMS conversation. You can also turn booking texts off on your account page.

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

Text messaging originator opt-in data and consent are not shared with any third parties. The only exception is the messaging platform that delivers our texts on our behalf, which may process your number solely to send and receive those messages. Every opt in and opt out is recorded with its time, source and the wording you saw.

Keeping It Safe, and for How Long

We protect your information with reasonable technical and organizational measures, and we keep it only as long as we need it for the purposes above or as the law requires. The app is meant for adults and is not directed to children under 13.
